Job SummaryUnder the supervision of the finances and administration assistances head, the Secretary/Cashier performs secretarial duties, handles Petty Cash, handles communications, provides routine administrative assistance, receives and provides information , settles payments of small expenses and Prepare petty cash replenishment and ensures the smooth running of the office as a whole.
Secretary Duties
Ensure the daily e-mail checking and downloading of documents and their delivering;
Receive and transmit local and international telephone calls, electric mails and faxes;
Establish up-to-date filing and record keeping systems according to the EHRCOs guide-lines, and file all documents in relevant folders;
File and take care of all documents that should be kept in office; especially, outgoing and incoming letter keep confidential in safe place;
Provide typing and clerical services as assigned (draft letters, Memos and related);
Take and arrange appointment for branch Senior Staff;
Responsible for handling and running of the office furniture’s and equipment;
Perform similar duties when requested
Cashier Duties
Managing all the cash transactions in their workplace
Maintaining daily account of the daily transactions
Balancing the daily account at
the end of each day
Checking the daily cash balance
Solving all their cash related queries
Organizing all the work they do and maintaining the accounting records
Perform similar duties when requested
Job Requirements
Work Experience
Required Qualification
4 years Diploma in accounting or related filed
1-3 years Degree as Secretary/Cashier or Administrative Assistant.
Key Skills and interest
The ideal candidate will be professional, well presented, and enthusiastic.
Highly organized and able to multi-task candidate with excellent phone communication.
Excellent computer skills in (Ms Word, Ms Excel, and internet) and Peachtree accounting software is advantageous.
Good interpersonal handling Skill.
Tact and diplomacy in dealing with staff-related to work environment needs.
Ability to maintain effective working relationships with all levels of staff and public
Strong spoken and written communication skills
Confidence and a persuasive manner
Ability to work under pressure
Time management and strong organizational skills.
