Job Purpose

  • The purpose of this job is to assist in the development of human resource administration systems, policies & procedures; to handle employee personal records and data verification activities; to timely updates staff related data, annual leave, medical reimbursement data sheet with supporting appropriate documents; to prepare draft testimonial letters and reports; downloads and summarize staff weekly attendance records; to assist recruitment and promotion screening activity and to participate in human resource performance management, learning and development and HROD activities.

    Duties and Resposibilities

  • Assists in the development of human resource administration systems, policies & procedures

  • Provides administrative support in handling variety of HR admin issues in processing placements, promotions, transfers, resignation, grievance and disciplinary issues;

  • Collect/download job applicant’s application letter and CV, assist on the first screening process, communicate the selected applicants for written and interview examination and develop new recruit personal file.

  • Assists in the implementation staff attendance, payroll preparation, leave management, staff medical insurance and reimbursement, contract renewal and pension scheme process.

  • Properly handles and updates employee personal file and HRIS in efficient manner

  • Plays active role in facilitating various employee engagement programs and support HR administration process by photocopying and scanning different documents

  • Collects different data which support employee benefits, satisfaction, and investigations survey.

  • Participates and assists in performance management, learning and development and HROD
    activities.

  • Provide support in planning and managing recruitment campaigns from start to finish; this includes assessing requirements, gaining a detailed brief and plan with Managers, Assist in developing job description, sourcing, screening assessing and communicating candidates;

  • Participate in developing fair, effective and robust recruitment practices; improving the employer brand;

  • Assist in injecting high caliber people join the organization;

  • Assists induction day process for new starters, co-ordinates resource and ensures a high standard training is delivered;

  • Organizing & give support the induction process one week prior to the induction day, ensure presence of trainers, participant, venue, materials; organize the visit program to warehouses and trading floor the next business day following the induction day;

  • Assist the network with relevant recruitment agencies and other institutions to ensure building of ECX brand; accesses and sources top talent;

  • Assists in the internship and apparent ship programs;

  • Performs other related duties assigned by the immediate supervisor/manager.

    Job Requirements

    Required Qualification and Experience

  • BA\BSc in Human Resources Management, Business Administration, or related relevant field.

  • 2 years of experience in HR administration, Recruitment, Benefit Administration or related areas
