Overall purpose of the role:The HR Officer is responsible for providing human resource and administrative support to the DRC/DDG Kenya Program.
S/he works closely with the HR & Admin Coordinator and relevant staff to ensure processes are executed in a well-coordinated, well-informed and timely manner.
Responsibilities: Benefits administration: Ensure all DRC staff (existing and new) are added to medical cover, Pension and WIBA covers and are registered with AMREF.
Participate in the recruitment process in NBO to ensure compliance with DRC procedures and procedures
Timesheet management for all Kenya Program staff – ensure all timesheets for all Kenya staff are received and archived in the Nairobi Office.
Ensure staff details, benefits, compensation are correctly updated in DRC Dynamics
Maintain all personnel files while upholding strict confidentiality
Contract preparation for incoming staff members.
Onboarding on new staff members – conduct HR orientation
Supports the HR & Admin Coordinator in carrying out and archiving staff recruitments, as well as maintaining a preferred-candidates roster in the Nairobi office
Support the HR & Admin Coordinator in coordinating performance & development processes
Support in the preparation and processing of work permit/visa applications for expatriate staff
Preparation and processing of monthly payroll
Tracking and updating reports on Performance Indicators for HR on a monthly and quarterly basis
Assist in preparing documentation for work permit/visa applications for expatriate staff and follow up with the DRC Agent; ensure that expat documentation is well archived and maintained up to date at all times
Assist in preparation of payroll and ensure that all payroll changes are captured every month.
Ensures up-dating and distribution of country program staff lists on a monthly basis
Assist with updating data in the HR APIs on monthly basis and ensuring up-to-date data is well captured
Occupation Health and safety – Be the focal person on OSHA implementation in all work places; in close coordination with other relevant staff, ensure compliance to OSHA legislation.
Any other relevant tasks
as assigned by the HR& Admin Coordinator/HOSS
Experience and technical competencies:
Minimum 3 years of relevant human resource and administrative experience is required preferably in an I/NGO setting
Ability to work in a busy office, demanding high levels of concentration to ensure accuracy
Team player with good people management skills
Education:
Minimum of Bachelor’s degree in Human Resource Management
Registered member of IHRM
Languages:
English (excellent – spoken and written)
Swahili (fluent – spoken and written )

Conditions
Contract duration: 13 months’ contract with possibility of extension, subject to funding and performance. Salary and conditions will be in accordance with the Danish Refugee Council terms of employment for National staff.

Duty station: Nairobi with regular travel to the field
