About the PositionIf this sounds like you, Dexis is seeking a Finance/Administrative Specialist to provide administrative and financial support and expertise to the Promoting Religious and Ethnic Tolerance in Ethiopia (PRETE) Program. The work for this position will be based in Addis Ababa, Ethiopia, with a start date expected in October 2019.
ResponsibilitiesAs the Finance/Administrative Specialist, you will support the Team Lead for PRETE on various administrative services through the following
duties:
Ensure the project’s financial processes and transactions meet U.S. government regulations, Dexis internal policies, and project needs
Oversee financial management and accounting, including preparing monthly financial projections, project expenditures, and bank reconciliations
Review and process expense reports and wire transfer requests.
Perform financial analyses and timely financial reporting
Maintain appropriate documentation for all purchased assets
Ensure timely salary disbursement to all project employees
Perform financial tracking of disbursements to vendors & consultants
Arrange and make payments for all flights, airport pick up, local transportation, and meeting and conference room space
Arrange all telecommunication needs (air-time, cellphones, SIM cards) and IT requirements (laptop connectivity, etc.)
Organize all arrangements and logistical requirements for meetings and conferences
Create meeting agendas and distribute to attendees
Actively take meeting minutes and consolidate notes to distribute to attendees
Coordinate the routing of documents and memos through the approval chain and follow up on pending approval requests
Maintain all office files in accordance with USAID's policies and procedures
Receive, answer, and route communications
Conduct research for varying levels of reports and special assignments
Prepare requisitions and purchase orders for office supplies and/or services
Serve as division contact for the human resources office
Perform other duties as assigned.
Job Requirements
Qualifications
A BA or equivalent university degree in finance, management, international relations, or a related degree preferred;
At least 3 year of experience working in a donor-funded or international development program;
Experience with a USG contractor or NGO is strongly preferred;
A minimum of one year of experience in financial management is strongly preferred;
Ability to prioritize and manage workload in a fast-paced work environment;
Demonstrated leadership, versatility, and integrity;
Fluency in written and spoken English and Amharic;
Strong communication skills and ability to do basic research;
Ability to liaise with vendors, official contacts, and program partners;
Demonstrated knowledge and experience with financial accounting software (QuickBooks, etc.), as well as MS Word, Excel and other basic computer applications;
Experience in contract administration; budgets; Human Resources; security processes; and space and logistics;
Ability to learn quickly, with minimal guidance.
