GIZ- AU Program
Background
As a federal Government owned company, GIZ supports the Federal Government in achieving its goals in international cooperation for sustainable development.
The African Union (AU) aims to promote the political, economic and social integration of its 55-member states. With twelve organs, the AU is represented at various African locations.
The African Union Commission (AUC) serves as the secretariat of the AU and is responsible for development cooperation.
After the European Union, the Federal Government is the largest bilateral and thus a strategically important and prominent partner of the AU and has anchored this in 2015 in its own framework agreement with the AU.
The GIZ Office for the AU is responsible for implementing the pan-African programs with the AU and its bodies in four priority areas - peace and security, good governance / migration, regional economic integration, education and employment, and agriculture - on behalf of the Federal Ministry for Economic Cooperation and Development (BMZ), the Foreign Office (AA) and other clients.
The continental portfolio, which currently has over 140 employees and 50 seconded experts, implements Program activities with an annual volume of approximately € 50 million in more than 35 countries in Africa.
The projects are mulit-country programs spanning several locations throughout Africa. The GIZ AU Office, in addition to GIZ's regional offices, is assuming overarching tasks for the management and quality assurance of its rapidly growing portfolio.
Due to the continental positioning, business policy questions on cost-effectiveness and efficiency, as well as new perspectives through digitization, are being re-examined, e.g. to optimize continental tenders and personnel recruitment.
We are looking for an experienced employee who, with creative will, as well as openness to piloting and innovation, contributes to the further development of this dynamic GIZ portfolio and supports us in making the GIZ office at AU efficient and cost-effective.

Responsibilities
The Junior Facility Officer is responsible for
ensures corporate and cost-effective environment for the office to function.
control and manage many environment and safety and security related issues.
facilitating technical maintenance in the premises
ensures smooth and timely performance of the assigned tasks
ensures in the office Building maintenance tasks, facilitates the office equipment and/or building renovations
Tasks
Technical facility management
The Junior Facility Officer
Advises and facilitates on rental office premises and movement
Advises the management on Space allocation and changes in the Office.
Manages the Keys in coordination with the Management and the Risk Management Advisor.
ensures repair, maintenance and service of GIZ office areas, systems (lighting, electricity, water, swage), as far as possible
ensures and coordinates the maintenance, inspection and testing for all of the fire safety equipment and systems, keeping records and certificates of compliance.
facilitates repair of damage he is unable to deal with independently and contacts an external service provider
(electrician, plumber, carpenters, etc.) to repair and maintain office buildings and extensions
ensures conserve energy by acting in an environmentally friendly manner, and points out additional scope in this regard
provides relocation office services, notice boards,
promote health and safety working environment, supporting and planning remodelling and renovation work
works out maintenance and inspection schedule and communicates them to the support staff.
Designs and reports a business continuity plan so that in the event of a fire or major failure the business can recover quickly.
assists in supervising office support staff
trains the Office and Project cleaning staff in Cleaning, in hygiene and in safety
Works with the staff on the promotion of sustainable Green Office (environmental detergents, energy saving, environmental friendly office supplies, ….)
Site management
The Junior Facility Officer
maintains a list of handymen, mechanics, carpenters and calls them on demand for service
provides relocation services by erecting or dismantling and transporting furniture and assembling Meta plan boards, notice boards, calendars, wiring for desks (to promote health and safety), supporting and planning remodelling and renovation work
carries out repairs to office equipment
mounts door and name plates
ensures the timely repairs to office equipment
ensures a reliable clearing service if necessary
maintains and repairs the (technical) equipment for site management
attends office and team meetings and translates for support staff
Facilities/security
The Junior Facility Officer
protecting facilities from accidental or intentional damage
preventing unauthorised access, including:
conducting security inspections
conducting routine surveillance operations (e.g. guarding, patrol and CCTV surveillance) to prevent and detect unauthorised access
responding to, and investigating, security breaches or incidents.
installation of security equipment, use Facilities/Development
Inventory Management
The Junior Facility Officer
Receiving all goods coming in and issued receipt note.
Manging storage of the GIZ AU (register all items, prepare excel sheet to make balance, make sure the replacement of items before totally exhausted)
Maintaining stock records
Preparing handing over documents for all project to the partners (AUC)
Assisting/coordinating in customs clearing processes of imported goods for GIZ-AU projects.
Other duties/additional tasks
The Junior Facility Officer
performs other duties and tasks at the request of management
Job Requirements
Required qualifications, competences and experience
Qualifications
College or University degree in Supply Chain Management or related fields
Professional experience
initial experience (internship or similar) in this area
Other knowledge, additional competences
good knowledge of the European language widely used in the country, ideally a knowledge of English
physical strength and resilience
willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with the management
