The United Nations Department of Safety and Security (UNDSS) is responsible for providing leadership, operational support and oversight of the United Nations Security Management System (UNSMS) globally.

The incumbent is responsible for providing substantive and reliable assistance in coordinating the effective planning and delivery of a security learning system capable of addressing the training needs of security and the UN Security Management System (UNSMS) globally, with a focus on appropriate and innovative use of learning technology.
The supervisor provides the framework and objectives in operational areas. The incumbent receives minimal supervision and is expected to discuss important issues and courses of action and seek guidance from the Chief of TDS and/or Security Training Officers.
This position is located in the Training and Development Section (TDS) of UNDSS within the United Nations Office at Nairobi. The Training Assistant reports to the Chief of TDS and/or Security Training Officers and will be responsible for the following duties.
ResponsibilitiesAdministers learning programmes using application of various learning theories to accomplish learning outcomes, with a focus on training of trainers (TDC) and the UNSMS wide training programme for Safe and Secure Approaches to Field Environments (SSAFE).
Arranges venues and addresses logistics and other administrative requirements for meetings, travel, training and learning activities and ensures authorization and processing of payments and follow up on administrative arrangements and forms related to official travel of staff, in conjunction with Executive Office.
Collects and tracks information on planned and actual budget expenditures, undertakes relevant financial transactions in Umoja and liaises with the Executive Office on budgetary and financial matters.
Carries out and manages cost recovery processes with Departments and Agencies, Funds and Programmes across the UN Security Management System.
Ensures information on the security training programmes is up-to-date and responds to queries from clients directly or by managing generic email addresses.
Provides administrative support to the Training and Development Section (TDS);
Monitors and reviews
all pending actions, tasks and other matters as directed by the Chief, Training and Development Section.
Prepares security correspondence for the signature/approval of the Chief, Training and Development Section, ensuring that all documents adhere to proper format, grammar, punctuation and style.
Assists in coordinating inter-agency security CBL learning programmes.
Updates and supports learners in the use of the UNDSS website and UNSMIN, the Security Learning Catalogue, Learning Management System and other technologies for communicating learning activities.
Ensures that data from the learning programmes administered is appropriately entered, collected, and maintained and responds to queries and requests for information on training programmes.
Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
Assists with visualizations and updating information material such as web pages or brochures.
Performs any other duties as required.

Education
Completion of high school diploma or equivalent is required. Supplementary training in the areas of Training is desirable.
Job - Specific Qualification
Training in Enterprise Resource Planning (ERP/SAP), such as Umoja or similar is desirable.
Work Experience
A minimum of five (5) years of experience in administrative and office support functions is required. The minimum years of relevant experience is reduced by two years for candidates who possess a first level University degree.
One year or more of experience and exposure at the international level is desirable.
Adult learning experience is desirable.
Experience with integrated information management systems for staff administration, Learning Management System (LMS) or other comparable tools is desirable.
One (1) year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another United Nations Officials language is desirable.
