Job Overall Purpose
The Clearing & Forwarding Officer is responsible for running a robust Clearing & Forwarding department within the company
Responsibilities
Administrative Duties
Budgeting and liaison to customer service.
Continually develop knowledge on customs qualifications, ensuring new regulations are understood and implemented where required.
Improve operational efficiencies to increase ability to process customer orders using both systems and physical improvements.
To efficiently evaluate the costs and revenues for the department and ensure that the department is a profit-making venture.
Ensure proper compliance and adherence to export /import administration regulations.
Clearing duties
Liaise with suppliers for timely shipments, follow up on documentation to be received to avoid late documentation charges and demurrage.
Review and identify the customs documentation requirements as per the type of importation and advising the client accordingly.
Tracking shipments, updating customers on arrival information and ensuring that the correct shipping documentation is ready.
Application for IDF, PIP, IDP and bond if cargo is tax exempt. The IDF & PIP are then send to the exporter.
Receipt of the bill of lading from the shipping line and advising the client on the estimated time of shipment arrival.
Obtaining manifest number from the shipping line and lodging custom entry.
Ensuring payment of shipping line charges.
Ensure that the importer pays taxes at KRA promptly to facilitate faster approval of customs entry.
Prepare customs folder where all original documents are attached to undertake verification with port health, radiation, KEPHIS, KRA & port police.
Liaise with customs and other relevant authorities for any issues that will arise during clearance of cargo. Resolve all verification issues and obtain final release.
Advice management on the correct and most preferred course of action to overcome technicalities that may arise during clearing.
Arrange for pick-up of cargo by liaising with transport department. For containerized cargo ensure a pre-picking inspection
in the provided format in SOP’s. Follow up to ensure that containers are returned to the nominated CFS and an interchange obtained to allow facilitation of refund.
Provide regular and accurate reports on all cleared cargo and status of outstanding goods for clearance.
Qualifications (education & experience)
Diploma in clearing & forwarding from a recognized institution
3 years of experience and track record within the Logistics, Supply Chain and Clearing & Forwarding Industry
A thorough knowledge and understanding of customs legislation, tariffs, import/export documentation, customs clearance, bond management and customs declaration will be required.
Excellent coordination skills
Attention to detail.
Fully computer literate, aptitude for technology and systems driven
Excellent communicator (written and verbal) on all levels.
Analytical, accountable and assertive.
Commercially astute
Key Performance Indicators
Turn Danros (k) Limited clearing & forwarding department into a profit-making unit within 3 months
Increase the clearing & forwarding department revenue
Increase the clearing & forwarding client base
Lead management: maintaining a lead to sale ratio of 15% or higher
Prepare and present revenue and expenditure reports on weekly, monthly and yearly basis
Total number of files closed in a month both sea and air
Number of files going into demurrage bills
Number of files falling into storage charge
Leadership: effectively accomplishing set goals through subordinates
Other duties
Undertake other duties within the scope of your skills, competence and training as directed.
