Cytonn Investments Assistant Clerk of Works Careers in Kenya

ResponsibilitiesCoordinate, monitor and inspect work of construction contractor for assigned projects on behalf of the Cytonn Real Estate
Review contractor shop drawings and provide comments on conformance/non-conformance to architect
Act as liaison between architect and contractor
Conduct on-site observation and spot-checks of work in progress
Ensure contract compliance by the contractor, such as conducting tests specified in contract and installing materials/equipment as specified in contract, and report deficiencies to Project Manager, Architect and contractor
Provide reports on all on-site matters, including third-party inspections, progress, safety concerns, and causes for delay
To be responsible for the inspection of the workmanship and practices of contractors and/or crews engaged in construction
Maintain job-site files, documents, reports and daily log; prepare periodic reports for Project manager and Architect as required
Attend all job-site meetings as a Cytonn Real Estate representative or in conjunction with Project Manager
Receive, record, present for architect approval, and maintain custody of samples submitted by construction contract
Review requests for progress payments submitted by construction contractor and forward with recommendations to Architect
Any other duties as may be assigned from time to time
Requirements
A grade of C+ and above in KCSE (or equivalent) with good grades in math and languages
Diploma or higher national diploma in Civil Engineering, building Construction or Structural Engineering would be preferable. and above or any other relevant qualification. Registration at the Institute of Clerk of Works of Kenya will be an added advantage
Practical Knowledge of project plan development and implementation
At least 2-3 years of experience with a preference for managing big projects
An in-depth knowledge of the construction industry
A sound knowledge of building regulations
Responsible and work under pressure depending on site program deadline
Good organisational and project management skills
Excellent problem-solving skills
Excellent communication and negotiating skills
Good written and oral communication skills
The ability to liaise with staff at all levels

Responsibilities
Ensure satisfactory facility/property management by providing a seamless interface into our real estate department
Oversee the development and management of the capital and expense budgets
Develop and implement the annual management plan; accomplish key performance indicators identified by Cytonn Real Estate
Oversee appropriate monthly/quarterly/annual reporting on facilities/properties under Cytonn Real Estate
Ensure compliance with Cytonn Real Estate’s minimum audit standards
Oversee the development and management of properties under Cytonn Real Estate’s responsibility
Develop monthly/quarterly variance reporting on all
operating budgets for each property on a timely basis
Assist with the development and implement the annual management plan for the buildings
Help develop and approve the annual capital plan for each building
Manage site security program and other services in accordance with the Cytonn Real Estate security policy
Develop and implement innovative programs, processes and producers that reduce short and long term operating costs and increase productivity
Provide the lead role to monitor customer satisfaction and increase it
Source local services and goods needed to perform day to day operations through 3rd party suppliers. This includes writing contract, obtaining necessary vendor set up forms and reviewing certificate of insurance for compliance
Ensure proper management of rental and services charge account
To create an adequate Health and Safety Management Plan to ensure that Health and Safety procedures are in place, for the benefit of all the premise users
Any other duties as may be assigned from time to time
Requirements
Bachelor’s degree, minimum of Second upper, or equivalent work experience in Facilities Management and property Management, Real estate or Equivalent
Minimum of 3 years industry experience required either in the corporate environment, third party service provider or as a consultant
Strong organizational and management skills
Experience in matrix management organization desirable
Strong presentation skills
Knowledge of real estate, technology, accounting and building technology systems
Excellent verbal and written communication skills
Computer proficiency
Demonstrate strong interpersonal, supervisory and creativity
Strong computer skills, including high level of proficiency in MS Excel, Power Point, and Word
Membership to a relevant professional body will be an added advantage

Responsibilities
Portfolio administration: Ensure proper recording of all portfolio transactions including: client's contributions, withdrawals and any corporate actions
Assist in the preparation and distribution of client statements and investment reports for the investment team
Ensure effective and timely reporting for fund position and return to clients
Communicate and reconcile portfolio activity with custodian banks and administrators
Interact with clients, their advisers, custodians and administrators regarding portfolio operations
Timely release of accurate financial and portfolio data
Maintains controls by preparing and recommending policies and procedures to be followed
Maintains financial security by coming up and following internal controls
Preparation of payments by verifying documentation
Ensuring compliance with taxation and any other financial legal requirements
Preparation of special reports by collecting, analysing, and summarizing account information and trends

Follow up on clients’ overdue payments by sending payment reminders
Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted
