Job Summary:To support the Ethiopia programme team in the development and timely submission of high quality donor proposals and reports as well as producing case studies, programme documentation, visibility material and brochures for Concern Worldwide’s country programme.
Conducting field visits to support the team with data and information gathering for proposals and reports. To prepare regular internal programme and contextual updates. To provide necessary documentation and other support to the Country Management Team (CMT)
Main Duties and Responsibilities:
Reporting and Compliance:Support programme staff in the development and timely submission of high quality donor reports, using appropriate templates and guidelines.
Provide information and guidance on donor compliance requirements to programme managers including developing and conducting grant start up workshops.
Prepare monthly reports and occasional emergency updates as needed
Draft and/or review/finalise reports on behalf of the programme team as required, ensuring donor compliance.
Conducting field visits to collect information, photographs and/or case studies as required.
Ensuring the reporting schedule is up-to-date and that programme teams are informed of the donor reporting requirements and that appropriate guidelines and templates are shared.
Funding and Programme Development:
Support programme staff in the development of high quality concept notes and proposals for both emergency and development programmes.
Conduct desk-based research in order to provide relevant, up-to-date contextual input in proposal development and on a wide range of programme-related issues
Produce “in-house” programme briefs or case studies that demonstrate best practice in areas of Concern’s work and also address problems/constraints and critical issues.
Participate in planning processes with the Grants and Information Manager and Programmes Director to support the identification of funding needs and opportunities for further funding.
Communications, Knowledge and Information Management:
Liaise with programme teams to produce and disseminate programme and contextual updates, documenting and sharing updates on achievements and challenges.
Support communications functions through the dissemination of news and relevant articles, and the development of programme briefs, presentations, etc.
Act a focal point for information requests regarding programmes in Ethiopia from other Concern offices e.g. UK, Dublin, US communication and fundraising departments as well as external various Ethiopia Clusters.
Ensure grant records on the Grant Management System are up to date including versions of contracts, reports/proposals/etc. on Sharepoint and provide support to Grants and Information Manager with version control of proposals and reports
General:
Maintain open communication and good working relations with all departments and act as a focal point for advice and information on a wide range of programme-related issues.
Contribute to development, review, and revisions of institutional and country programme strategies and policies, and assist in-country Senior Management Team (SMT) with research.
Provide cover for Grants and Information Manager role as necessary
Adhere to and promote the standards outlined in the Concern Code of Conduct and associated policies, and be committed to providing a safe working environment.
Participating and contributing towards Concern’s emergency response, as and when necessary.
Take all possible measures to meet Core Humanitarian Standards (CHS)
Any other tasks mutually agreed with the Desk Officer in conjunction with the Grants and Business Intelligence Manager in Ethiopia.
Person Specification
Minimum Education, Qualifications & Experience Required:
Degree in Humanitarian affair/International Relations, Development Management or other relevant discipline
Three years’ experience in a similar role in a reputable organisation
Substantial previous experience of research, documentation and/or report writing
Preference will be given to candidates who have:
Ability to work productively with remote programme teams
Good knowledge of Programme Cycle Management
Good knowledge and competence of computer applications i.e. Microsoft Office
Commitment to humanitarian principles and values
Commitment to adhere to the standards of conduct outlined in the Code of Conduct and Associated Policies.
Competencies required:
Ability to organize and prioritise workload, using initiative when appropriate
Communicates (verbal and written) in a concise and clear manner
Systematically monitors the quality of work and maintains high standards
Desirable:
Good knowledge of donors (ECHO, EU, USAID/OFDA, Irish Aid, UN)
Knowledge of monitoring and evaluation processes.
