Accountability The Senior Creditors Controller is accountable to the office of the Financial Manager of the Coega Development Corporation (CDC).
Mandate
The Senior Creditors Controller is mandated by the Chief Financial Officer to take responsibility for all the credit control and debtors functions of the Coega Vulindlela Accommodation and Conference Centre under the specific direction of the Financial Manager, with a particular emphasis on the management of credit risk of existing and new debtors of the CDC.
Responsibilities and Obligations
The primary objective of the Senior Creditors Controller is to ensure that the financial integrity of the CDC is protected and maintained at all times. In pursuance of this primary objective the Debtors Controller is required to be responsible for:
Match supplier invoices in Oracle
Perform monthly supplier reconciliations
Execute routine supplier payemnts in Oracle
Compile routine payment packs which conform to the organization’s payment guidelines
Administer supplier accounts in the Teams platform by performing invoice related administration
Load annual budget on the supplier accounts and any subsequent budgetary requirements
Completion and sign-off of monthly control sheets
Maintenance of unmatched supplier invoices’ report
Maintenance of supplier age analysis
Prepare ad hoc reports for presentation to OPS management
Compile monthly supplier spend report for distribution to the relevant parties
Assist with internal audit/statutory audit queries
Establish sound professional working relationship with suppliers and internal customers
Offer assistance in completion of supplier credit application forms and vetting by Legal Dept.
Trend municipality accounts; investigate spikes in expenditure and report to the water management committee
Prepare schedules for monthly accruals and pass journal entries in Oracle
Co-ordinate supplier onboarding process in the ERP system and completion of relevant forms
Liaise with Procurement in adjusting masterfile details
Investigate unused releases and communicate results to the financial manager
Make available PPO allocation status report bi-monthly
Perform budget re-allocations in the organization’s portal
Liaise with Departmental Heads in inter-departmental budget reallocation requests
Assist with payment of tenants’ deposits and account in Oracle
Supervision and training of junior staff members
Any other ad hoc finance responsibilities in support of the organization’s Finance BU
Furthermore, you are to ensure that:
You are aware of and have access to the CDC’s SHEMS;
You are aware of your responsibilities and duties as laid out in the
CDC’s SHEMS;
You are aware that you work in a safe and environmentally friendly manner;
You ensure that the company’s housekeeping standards are maintained throughout your area of responsibility;
You report any unsafe conditions or acts which you cannot rectify yourself to your SHE representative or to the Senior SHE Project Manager as soon as possible;
You report all SHE incidents which occur within your area of responsibility promptly and in the correct format;
You are totally familiar with your responsibilities in terms of the CDC’s emergency plan;
You communicate to the Senior SHE Project Manager any required changes to the SHEMS prior to implementing these changes;
You timeously complete and correctly record any corrective action which needs to be taken in order to rectify a SHE matter;
You give full co-operation to, and participate in (as required), the CDC’s internal and external SHEMS audits.
You have the authority to:
Immediately stop any person(s) on CDC property from committing an unsafe or destructive act or omission;
Take whatever immediate steps you deem necessary to prevent injury or environmental damage when confronted with an unsafe or destructive condition.
Performance Indicators
Performance will be monitored regularly by the Finance Manager, with reference to the Finance Unit balanced scorecard.
Requirements
Minimum 7 years core experience as a creditors’ officer/controller, preference will be given to candidates with additional experience
An appropriate post graduate degree or diploma will be advantageous.
Strong MS office skills, particularly Excel.
Strong numeracy and accounting skills.
Strong communication skills.
Ability to work efficently under pressure, meet deadlines and appropriately prioritise tasks.
Ability to provide succint reports and feedback.
Ability to problem solve.
