Primary purpose:This position is primarily responsible for driving and maintaining CWS vehicles to complete assigned errands on behalf of the organization.
Core job responsibilities:AdministrationDrive CWS vehicles, staff, officials and visitors for official purposes as instructed by the supervisor, while: -
Follow CWS traffic protocols and government traffic rules strictly.
Stay updated with security advisories and plan the best route based on road and traffic conditions and navigation tools.
Keep the fuel level in the vehicle above half tank.
Assist with general clerical tasks as assigned by the supervisor.
Pack supplies for field team travel.
Collect and post mails.
Keep accurate records of CWS delivery/dispatch book on deliveries made to other offices.
Assist in collecting and following up on documents, invoices and receipts from partners and vendors and facilitating in payments of other statutory licenses, bills and utilities.
Ensure the security of CWS vehicle in any official operations assigned, this includes reporting back at the office compound by 6:00 pm unless otherwise approved by the supervisor.
Facilitate the processing of camp entry and work permits for expatriate staff supporting CRs also vehicles and other materials that are required to the camp to facilitate CRs operations.
Assist in obtaining quotations and making simple purchases on behalf of the office and as per instructions by the supervisor or procurement personnel.
Technical Maintenance
Maintaining good mechanical and physical condition of the vehicle by; -
Conducting daily inspections and checkups; -
Fluid levels (Engine oil, brakes fluid, clutch fluid, power steering, auto transmission fluids, coolant and radiator water) if relevant
Lights and electrical system check (Headlights, brake/taillights, indicators/turn signals and battery terminals) are working correctly.
Tyre and brake pads check (Tyre pressure, tread, look for wear and tear such as cuts or bulges and rotate the tires every 10,000km to ensure even wear)
Windscreen washers (Windscreen/shield wipers and washer water) are functional.
Note any warning signs (Dashboard warning signs/lights, unusual noises or vibrations)
Reporting any fault or damage to the supervisor as soon as possible.
Following the maintenance schedule as outlined in the owner's manual and reminding the supervisor of the due periods for routine services.
Making sure all the required tools in the vehicle are in good working condition, such as first aid kit, tools box, jerk and handle, wheel spanner, spare tyre, torch etc.
Washing, cleaning and interior vacuuming the vehicle regularly to prevent rust and corrosion, hence maintaining a good appearance.
Vehicle documentation
Maintain the updated documentation and records of the vehicle by: -
Recording details of each trip into vehicle mileage/logbook and getting a signature from every user of the vehicle.
Securing documentation of the vehicle and keeping the records of the vehicle in a logbook: -
Refueling records and documentation (Refueling request forms and receipts)
Maintenance services records and documentation etc (Job cards and delivery notes)
Timely reminding the supervisor of the expiration of statutory certifications, such as: -
Insurance cover/policy.
Inspection certificate.
LATRA license.
Speed governor certificate and any other.
Perform any other duties as assigned by the supervisor to improve the operations of the CWS office.
Qualifications:
Experience
Five years of driving experience.
Two years of working with NGOs.
Skills
Working knowledge of basic motor vehicle mechanics.
Good knowledge of Kigoma and Kasulu road routes and the surrounding areas.
Remaining calm in stressful
driving situations.
Strong verbal and written English language skills.
Demonstrated organizational and time management skills.
Strong computer skills in particular Microsoft Word, Excel and Outlook/Emails.
Familiarity with GPS devices.
Education and certifications
Ordinary level of secondary school certificate is required.
Driving license class ‘C1’ and above is required.
Driving courses from NIT (Advanced driver’s grade two (VIP) or Advanced driver’s grade one) are required.
A motor vehicle mechanic course from any recognized institution will be an added advantage.

Actively participate in the implementation of the U.S. Refugee Admissions Program (USRAP).
Availability for occasional weekends and late or night shifts.
Lifting heavy packages and luggage.

Strong English communication skills both oral and written.

Special requirements
COVID-19 vaccination is required for all successful candidates.
Strong English communication skills both oral and written.
The candidate should be in good health, willing and able to travel extensively in often difficult conditions and have a high degree of flexibility. Must have proof of yellow fever vaccination before travelling for CWS.
This position is based in Kasulu, Kigoma – Tanzania.
This position requires the use of laptops, competence in Microsoft Office packages is required.
This position may require travel in sub-Saharan Africa on short notice and under sometimes difficult conditions to meet the demands of a dynamic operational program.
Driver’s license class ‘E’ or above is required.
Background check which includes references, educational and criminal checks is required before the start of employment.
A valid passport and the ability to maintain a valid passport throughout the entire appointment is required, which includes having enough passport pages for travel.
Physical: This position requires bending, squatting, crawling, climbing, kneeling, sitting, standing, walking, pushing/pulling, handling objects (manual dexterity), reaching above shoulder level, using fine finger movements, and lifting/carrying heavy loads.
Environmental: Incumbents in this position will be exposed to excessive noise, marked changes in temperature and/or humidity, dust and infectious diseases, harsh weather climates, long work hours, bumpy roads, extended travel, excessive sun exposure, and non-ventilated spaces.
The US embassy rates Tanzania as both high in crime and high in terrorism. Incumbents should fully understand the insecurities present within Tanzania and the region.
Full-time/Part-time: All employees should be prepared to work from the CWS office within their location of hire. Remote work arrangements may vary depending on location and the governing rulings regarding the pandemic.
