Job DescriptionSummary of RoleRole as Office Manager under the direct supervision of General Manager and responsible for the planning, directing, coordinating and controlling of all Office related activities keeping records, original documents in safe places, of all business units and corporate staff.
The role includes to support the business needs of the organization ensure the presence of effective management of database system, documentation & office disciplines.
These roles require the individual to be a self-dedicated, motivated, highest professional integrity and a strong team player.
Major Duties and Responsibilities
Plan, Organize, Direct and coordinate General Service Management with the objective of attaining high standard of performance in accordance with policies and regulations of the company.
Prepare the over-all General Service administration plan and organize, direct, coordinate/ supervise same.
Assures quality and effective implementation of the company’s administration processes in consultation with the immediate supervisor,
Maintain and review from time to time all systems related to office management in the organization (leave, payroll, employee files & Daily attendance of all employees)
Assure implementation of automated attendance system to the factory employees.
Maintain, implement and review staff appraisal system as per company policy and procedures.
Manage the general service, logistics janitorial and
security function.
Deal with rent commitments, office furniture/equipment, utilities, sanitation, security, janitorial and transport, regular servicing of equipment and vehicles.
Ensure facilitation and management of office administration and human logistics activities within the company.
Maintain and control office stationery & office consumables inventory stock.
Ensure the facilitation of transport, insurance, maintenance and vehicle millage.
Oversee the execution of such office administration activities as Electricity, Telephone, Janitor and security are carried out properly and adequately.
Work closely with HR Head of Plant & Legal Adviser of the company, Plan and visit to factory at least once in a month.
Reporting
Plan & Update daily work reports and communicates with immediate supervisor.
Plan & keep records all official Minutes of meeting and share with all concerned employees and mangers
Prepare and maintain IT records and reports as per company requirements.
Any other business assignments given (within the scope of role) by the immediate supervisor from time to time
Job Requirements
Education Qualification
BA Degree in Secretarial Science & Office Management or BA in Administration
Work Experience
Minimum 5 Years in similar position in Manufacturing Industry
Language
The Candidate must have fluency of speaking & writing of Amharic & English.
