Job PurposeThe Admin Assistant (AA) will responsible for many clerical tasks to ensure the staff can communicate and work efficiently. Their job involves answering phone calls, greeting visitors, distributing mail, and preparing communications in the implementation of the ‘Gender-based violence’ project in Gusau of Zamfara State.
This position is central to the designing, planning, implementation, and overseeing of all Administrative related functions in CBI Zamfara State operations.
The AA will assist the program officer who will be responsible for building capacities of key community own resource persons to facilitate and implement protection activities in the community and institutions (schools and reception centers) to improve Gender-based best practices. Furthermore, He/she will assist the PC regarding regular updates and the progress of the project administrative requirements.
Through the strategic implementation of this project, he/she will directly work to contribute to the execution of CBI’s overall mission and strategic plan goals for 2023
Job Description / Principal Accountabilities
Project Implementation, Monitoring, and Evaluation
Handling office tasks, such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
Providing real-time scheduling support by booking appointments and preventing conflicts.
Making travel arrangements, such as booking flights, and cars, and making hotel and restaurant reservations.
Screening phone calls and routing callers to the appropriate party.
Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
Greet and assist visitors.
Maintain polite and professional communication via phone, e-mail, and mail.
Job Holder Entry Requirements
Knowledge (Education & Related Experience):
University Degree in a relevant field (Social Sciences, Development Studies, Public Health). Masters will be an added advantage
Minimum of 2 years working experience, ideally in an INGO or well-acknowledged NGO, having experience working with government partners and project fund/grant management.
Experience in all aspects of project management, possession of an Admin Certification will be an added advantage.
