Job profileCAFOD, one of the UK’s leading international aid agencies, is currently looking for an Office Administrator. This role is often the first point of contact for staff and visitors to CAFOD and key to the smooth running of the office, therefore, we are looking for someone who enjoys working with others, and is able to play a key role in creating a smooth-running office and pleasant work environment.
Job RoleThe Office Administrator is responsible for providing efficient and effective administration including: Providing general office support and administration, managing reception, liaising with internal and external contacts, providing information, being the IT focal point supporting IT based in London and ensuring buildings and premises are well maintained.

Candidates should enjoy working with and supporting others and also have the confidence to manage challenging situations in a professional and respectful way.
It is important that you are passionate about administration work, are able to follow, and where necessary improve systems and processes.
Nevertheless, the role can be varied and often requires solving different challenges as they arise - so we need someone with good communication and numeracy skills and have the ability to proactively multi-task in this role.
Key Responsibilities
Support managers in internal communications (e.g. ad hoc meetings, announcements, absences, updates)
Assist with organising corporate wide workshops, travel and accommodation arrangements for visitors and staff (tickets, travel
insurance, taxi, security processes, accommodation, airport and visa formalities, etc.)
Ensure sufficient office supplies (e.g. stationary, water, tea, coffee, sugar, cleaning supplies)
Reception duties - welcome visitors referring them to the appropriate teams and / or staff
Reply to general correspondence and deal with enquiries, answer incoming phone calls and take messages if necessary
Overall coordination of drivers: alerting staff when there are potential booking clashes, communicating shortage of availability in advance for planning purposes, and maintaining communications with drivers as needed
Ensure the Asset register is updated and tracking of the movement of assets, ensure safe custody of assets and ensure that they are all insured
Hold office float to facilitate payment from petty cash and periodical reconciliations with Finance Administrator.
Monitor and calculate mileage for vehicle use in liaison with the drivers
Maintain general files (paper and electronic) archiving old documentation as needed.
Ensure office phones are in working condition
