    Main purpose of job:

    The job holder will have to ensure efficient running of the Front Office, handling all telephone calls and customer enquiries in a prompt and professional manner and undertake administrative duties for the Transport Section

    Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Undertaking switchboard duties,-management of the answering machine to ensure a 24/7 response after hours, at weekends and holidays
  • Attending to visitors at Reception and controlling entry
  • Making hotel or other temporary accommodation bookings for visitors to the High Commission
  • Receiving BHC mail and sending mail to other organisations, including deliveries by BHC drivers
  • Managing Transport Section events including meetings workshops and other work-related gatherings within the section
  • Record keeping-filing both electronic and paper
  • Assisting in management of transport booking and preparation of daily transport programme in consultation with the Transport Planner
  • Undertaking requisitioning & receiving responsibilities for Transport Section purchases
  • Administration of billing and payment receipts for shuttle services & private hire of official vehicles
  • Assisting in processing of taxi invoices. Pre-audit of taxi vouchers before forwarding for payment
  • Undertaking other administrative duties as assigned by the Transport Manager

    Essential qualifications, skills and experience

  • A degree in any business related field;
    Minimum of 4 years in an administration role;
  • Experience of front office management;
  • Excellent IT skills;
  • Excellent communication skills with fluent spoken and written English.

    Leave:


    Members of staff are entitled to paid annual leave, which is earned, from the day they commence employment. Entitlements are as follows:

  • Grades A1 (L)25 days and then 30
    days after 5 years’ service
  • In addition to annual leave, the BHC normally observes no fewer than 9 and no more than 14 Kenyan and British public and religious holidays in a year. These vary from year to year and are at the discretion of the High Commissioner. A list of holidays is published each year.

    Working Patterns:

    Subject to the Flexible Working Scheme (see below) normal office hours are:

  • Monday to Thursday: 0715 - 1600
  • Friday: 0745 - 1300.
