This is an exciting job that offers the incumbant the opportunity to contribute to the wider Corporate Services (CS) objective specifically in the area of Property Management.
The job-holder plays a crucial role:
Delivery of the key tasks in relation to the effective maintenance of the Estates accross South Africa
Managing the operational delivery of the estates functions within the team including the line management of the Estates Officers
The position involves managing of the estates team duties include rental payments, accommodation searches, furniture, utility payments, maintenance payments, maintenance scheduling, general maintenance, inventories and other tasks.
One of the main focuses is customer service, ensuring that the estates team is providing a professional service to all clients
Oversee the network estate, working closely with the Security and Technical Works teams to ensure the effective implementation of projects, reactive works, preventative maintenance, arrivals and departures, general estate procurement, furnishings, maintenance personnel.
Roles and Responsibilities
The below roles and responsibilities are general guidelines. They are not limited to the detail below and are subject to change from time to time with prior consultation.
Together with the Compliance Manager to oversee health & safety related issues around the South Africa Network to ensure full compliance with current FCO regulations and both UK and local legislation on residential properties.
Working with the Head of the department to monitoring and forecast effectively the maintenance budgets and all estate related expenditure for the Network.
Ensure that estates related invoices are paid in a timely fashion and Purchase Orders (PO) are raised and receipted in accordance with the P2P process including avoidance of any retrospective purchasing
Ensure Value for Money (VFM) is continually sought and achieved with all suppliers, contractors and maintenance purchases.
Ensuring delivery against the preventative maintenance contracts that have been procured and flaging issues to the head of department to be addressed at quarterly review meetings.
Regular review of the supplier optimisation list to ensure we have sufficient suppliers to deliver on key estates works. This will need to cover all locations around South Africa.
Secretariat functions for the PHC as well as working with the head of department of compile and circulate recommendations for housing allocations.
Other General corporate service team tasks as required to assist covering absences and demanding periods.
Collecting regular feedback on the teams
performance and using the tools available to monitor delivery of works from both the team and the suppliers we use.
Managing the Estates fleet vehicles both on the maintenance and general up keep.
Also flagging capital replacement of these vehicles to the head of department in line with policy.
Indentifying risks within the delivery model for the estates.
Mitigating against fraud risks.
Ensure the team are maintaining proper records of all estates related activity.
Essential Qualifications, Skills and Experience
Experience in estates and/or property management
Line management experience
Desirable Qualifications, Skills and Experience
Procurement experience
Experience in Project Management
Experience with construction / new developments

The British High Commission pays in full for the Key Care Plus option on Discovery Health for staff including spouses/partners and dependants.
Once you have successfully completed your probation the British High Commission will contribute 9% of your monthly salary to a Provident Fund.
Annual leave entitlement of 25 days.
Working hours per week of 36.5
