Purpose of the JobThe major purpose of the job is to facilitate back-office tasks of technical procurement.
This includes daily CMMS & Local Purchase follow up system updates, payment facilitation, RN facilitation, maintaining purchase information in a secured manner, make easy for access & issuance upon request.
Main Duties & Responsibilities
Register & allocate new RFQ to the purchaser.
Submit price to the system, to upload PFI Proforma Invoice to the system.
Prepare PA Payment Authorization, Suspense & facilitate payment.
Collect the pipeline purchase status & update daily to the system.
Respond timely to all query from CMMS team on cleaning
outstanding purchases.
Offer full & timely clarification for finance & user units.
Upload CASI Cash Sales Invoice to the system.
Facilitate RN issuance, after item delivery to store, and submit complete document to finance for the closure of purchase.
Maintain all relevant purchase documents safely in a secured manner & make accessible to relevant bodies.
Follow all purchase request in the site & work jointly with Buyer to
make efficient & effective purchases.
Generate the periodical reports as required by users.
Carry out the Technical buyer driver tasks in his/her absence/workload.
Make timely & full response to all query from Central procurement team obey instructions accordingly.
Carry out other supportive tasks in the department, during staff absence/workload.
Job Requirements
Have intermediate knowledge of Microsoft applications (especially MS Word, MS Excel, MS Outlook)
Hand on skill to communicate the suppliers & requestors on mail.
Ability to work on Database
Skill to work on Web-based Local Procurement follow up system,
The right attitude to be a good team player,
Ability to respond to urgencies,
Result oriented, attention to detail.
Respect the company rules & regulations of safety.
Expected Education and Experience
Field of a stream: Management Information System, Computer Science/ ICT, Supply Chain Management, Business Management, related discipline.
2-year direct work experience in similar responsibility or industry.
