Job SummaryImplementation of efficient day to day office management operations in line with the administration departmental mission.
Overall Responsibilities
Transport Management
Vehicle scheduling and allocation of Baylor-Uganda vehicles through the establishment of monthly travel plans;
Monitoring and weekly reviews of the logbooks, review of the fuel card registers and routine checks on the daily mileage of the vehicles.
Review and monitor the implementation of proper fleet management procedures and utilization of the motor vehicles & motorcycles in the clusters in accordance with Baylor-Uganda fleet management policy
General office management of the cluster offices through forecasting and planning for office consumables and ensure no stock-outs at the cluster offices
Handling and booking staff hotel accommodation, review completeness of appropriate approved TORs, and verification of the invoices prior to payment
Overseeing administrative support in all cluster offices through manning of the front office desk, office assistants and official mail management
Verification of all utility bills, security, cleaning, and office supplies & sundries with supporting documents to establish their completeness and accuracy before submission to finance for payment.
Contracts management of cluster-based service provision contracts; overseeing hire services security and cleaning.
Inventory and assets monitoring and tracking by the issuance of engrave numbers to ALL assets and medical equipment procured by Baylor-Uganda; follow up on proper paperwork with stores
Provide stores administrative support through overseeing deliveries of supplies and assets delivered by the Fleet & Distribution
Assistants
Finance support to workshops, working groups, training, and meetings, especially ensure all participants who are entitled to any payments are registered on the Mobile Money.
Required Qualification, Experience and Competencies:
A Bachelor’s Degree (honors) in business related or Administration oriented course.
Good computer skills
Knowledge of the local language will be an added advantage.
The job holder must have at least two (2) years of relevant working experience in general office administration and fleet management in a reputable organization,
Good interpersonal skills, communication skills and analytical skills
