Main Job Summary: The Finance Assistant will contribute to the efficient and effective financial management of the organisation and its field offices.
Major Duties and responsibilitiesManage the safe, maintain the cash ledger and carry out weekly cash counts according to Organization`s procedures.
Conduct all bank correspondences including withdraws, updating bank mandates and letters of advice
Maintain the bank ledger and carryout monthly bank reconciliations.
Process all payments (Cash and bank) ensuring that proper support document is included and it is properly approved internally before payment.
Grant and receive advances to staff and ensure reimbursement and trip reports received from staff and surrender are well prepared and supported before clearing them off.
Ensure transactions and date are properly recorded and entered into the accounting system.
Ensure that all expense transactions are reasonable, valid, adequately supported by receipts and within overall or project budget.
Assist in maintenance of the filling system of all financial reports, funds requisitions and other finance documentation.
Advice and assist staff on all aspects of entitlements, allowances, salary advances, travel, claims and other financial matters and calculate process payments due for claims and services.
Assist in preparing monthly, quarterly financial reports and internal audit activities.
Administration
Handle procurement of office supplies and assist project teams in procurement of project items and services.
Establish and maintain an updated inventory of organizations assets and supplies.
Preparing new employee files and update all HR related files in the database at the field level.
Review time sheets, attendance books, leave records and
submit them to country office.
Support the HR department-related queries at the field level.
Perform any other duty assigned.
Minimum qualifications
Education
Must hold an honors Bachelor’s degree in Finance, Business administration accounting option or any other related course.
CPA or ACCA accreditation is an added advantage.
Experience
A minimum of two years of relevant experience in working with NGOs/INGOs
Good understanding of current accounting software
Core competences
Excellent analytical, interpersonal and communication skills
Highly self-motivated with strong organizational and planning skills
Computer literacy skills
Financial and budget analysis including budgeting.
Financial performance review methods and techniques
Financial reporting to partners/donors
Mentoring and coaching skills
Good understanding of international accounting standards, financial management policies and procedures
Good understanding of audit and risk management function and processes.
Effective verbal and listening communications skills.
Computer skills including the ability to operate finance software, spreadsheets and word processing programs at a highly proficient level.
Effective written communications skills including the ability to interpret reports, budgets, proposals, policies and procedures.
