Job Description

Tenwek is seeks highly qualified and self-motivated individuals to fill the position of Administration Manager for its Cardiothoracic Center. The Administration Manager will be responsible for day-to-day administration CTC. Overall supervision of the Administrative team and generally ensure the CTC office operates smoothly and efficiently.

Reporting to the CEO/Administration Consultant, the Administration Manager will be responsible for day-to-day administration to enable the attainment of Tenwek’s mission.

Key Responsibilities

  • Designing budgets and establishing rates for health services

  • Monitor costs and expenses to assist in budget preparation

  • Overseeing Security, Catering, Housekeeping services and the day-to-day operations of the CTC.

  • In charge of office space allocation and custodian of all office keys to ensure spare keys are safely kept.

  • Organize and supervise other office activities (recycling, renovations, event planning etc.)

  • Preparation of monthly/Quarterly and annual reports as and when needed.

  • Ensure operations adhere to policies and regulations.

  • Keep abreast with all organizational changes and business developments.

  • Serving as a liaison between the facility staff, governance, and patients

  • Overseeing the collection, securitization, and utilization of both patient and facility data

  • Architecting short, medium, and long term organizational strategy

  • Ensuring compliance with governmental policies and insurance reimbursement

  • Developing new policies and procedures to better serve the patient population

  • Streamlining both financial and operational practices.

  • General Management – Manage administrative services including utilities and consumables, office maintenance, repairs and cleaning and re-order of goods/inventory, monitor telephone usage and all other administrative related services.

  • Oversee all day to day operations of CTC

  • Oversee Record keeping for insurance payments and other payments.

  • Ensure there is good inventory keeping and health records.

  • Ensure compliance with ministry of health and
    also county government regulations.

  • Co-ordinate all general operations at the hospital to achieve efficiency and effectiveness.

  • Managing service providers

  • Asset management – develop and maintain a record of assets and inventory records and maintain an updated insurance schedule of the same.

  • Events Management – Support in the organization of internal and external meetings and conferences.

  • Oversight of front office administration and services, ensuring proper management of the reception and switchboard operations.

  • Supervision of all Administrative Assistants

  • Ensure all requisitions for administrative services strictly adhered to processes and provide administrative support to the Procurement team.

  • System Development – Developing, reviewing, and improving administrative systems, policies, and procedures, and using appropriate digital tools to improve efficiency.

  • Carry out any other duties as assigned from time to time by the management.

    Requirements

  • Degree in Business/ Administration/Operations Management

  • Master’s in business administration

  • At least 5 years’ experience in a similar position.

  • Previous experience in a Health facility is an added advantage.

  • Effective communication and interpersonal skills.

  • Good report writing skills

  • Proven ability to structure persuasive arguments in a strategic manner.

  • Formal affiliation with the relevant professional body in the country office.
