Teams in the field combat hunger on 4 fronts: Health and nutrition, food security and livelihood, water sanitation and Hygiene and Mental Health and Care practice Gender protection.
For our Logistics Department in Borena Base, Yabello we are currently looking for the following professionals:
General Assignment: Under direct supervision of the Base Log Manger, ensure the all procurement processing, procurement documentation and procurement reporting including fleet management and warehouse management.
Base’s entire procurement, the stock supervision and the maintenance of the buildings.
Objective 1: Centralize and process the purchase
Activities: Receive the validated Purchase Request from the requester's and register them in the Purchase Follow Up;
Organize the purchase process according to ACF procedure.
Ensures proper documentation of all procurement documents.
Maintains completed PRs’ files per grant.
Ensures safety of Procurement files and contract documents keep the Purchase Follow Up updated.
Transmit to the Base Log Manger all document needing a local or capital level validation;
Purchase the articles;
Inform the requester's of the progress of the treatment of their order;
Organize and follow the delivery;
Archive all the procurement’s document according to KLV3 procedure;
Objective 2 : Manage the supplier data
Activities :
Update the price catalogue ;
Carry out the quotation orders.
Objective 3 : Follow the payment of suppliers
Activities :
Participate in the payment of the suppliers;
Collect and check the invoices;
Transfer the approved invoices to the accounts for payment of suppliers;
Manage cash and ensure bills’ accuracy;
Settle
the cash advances with Administration as per rules;
Buildings Maintenance
Objective 1: Assist the Base logistician in maintenance of buildings in the base
Activities :
Ensure that the structures necessary for the base to function are restored and maintained: offices, programs, premises, warehouse.
Carry out quotation request.
Prepare a weekly work plan for the Utility facilitator and submit it to the Base logistician.
Storage supervision
Objective 1 : management of the stock
Supervise and organise the storekeeper activities;
Ensure KLV3’s procedure for stock management are respected;
Objective 2 : reporting
Receive and share the monthly stock report transmitted by the storekeeper;
Accomplishes other duties as assigned by the Base Log manager
Job Requirements
Qualification/Level of studies: Educational / Professional Background:
BA degree in Supplies Management, Purchasing Management, Business Management, Commerce, Accounting and related discipline from recognized University/college.
Minimum of 4 years relevant experience for Diploma and 2 years relevant experience for degree
Very good knowledge and experience in Microsoft Word and Excel software application.
Must have good command of both spoken and written English and Amharic.
Proven Ability to handle workloads and to work under pressure.
Give attention to details
NGO experience is plus
Adaptability: working in a multi-cultural environment.
Excellent representational
Required skills: Sense of confidentiality, Computer knowledge (Word and Excel) – Negotiating capacity – Rigour and local language (Afan Oromo) is Mandatory.
