Job DescriptionJob Purpose:
Under direct supervision of Plant Manager, the Admin and Finance Manager will manage various HR and administration matters and control the company financial transaction, handle the General work activities and closely support the Plant Manager in every admin and finance aspects.
Duties & Responsibilities Administer Plant Staff, control attendance, Train and aware the employees on latest development time to time.
Announce, screen, interview and hire employees in coordination with Corporate HR to fill the open vacancy on timely basis.
Control and check the overall financial activities of the plant; such as invoices, Credit and Cash with respective attachments, FS Receipts, Delivery Notes and makes sure that all these documents are completed and delivered to Finance Department on time.
Monitor all plant documents are printed out from the system accurately, Authorize and send these documents to Finance department on time
Follow up closely the release of all Stock invoices and other documents timely for both Production and Operational such as Petty Cash, Invoices, GRN, FGRN, SIV and related ones.
Check and reconcile Operation reports of the day before submitting to the concerned department.
Check and reconcile stock items issued with their corresponding approved delivery order by using Peachtree software package.
Follow up the Contract customers with respect to the agreed quantity against the contract, works out on the IT System, and then sends to Finance on time.
Control all the Cash activities, monitors the cashier works and signs these documents on time after verification
Monitor and oversee the General activities of the plant including the construction work
Maintain records of advance collected from contract customers
according to the source documents and follow up how much is taken in line with each customers’ name, and prepare reports and other documentation when requested.
Check the cash invoice amount with their corresponding collection.
Check and verify periodical inventory count and check against stock balances on Peachtree with storekeeper’s bin card
Keep records and report of petty cash/ expenditures (Classified expenses summary), material purchase, stock inventory for all fixed & Consumable good and all kinds of activities on weekly/monthly basis.
Maintain HR records for all employees in the Plant and assist the plant manager in all kinds of HR issues.
Generate and fill up all kinds of forms for record keeping & reference towards the smooth Plant operation
Work on Integrity basis and conduct meeting periodically to solve HR issues on time.
Work with superiors on the decision making of employees regarding hiring, training, assessment, necessary action and termination process.
Perform any other critical / urgent works as assigned by the Plant manager and VCOO based on time to time requirement for the smooth operation of the Operation
Job Requirements
Qualification:
BA Degree in Accounting or Management or related filed of studies with a minimum of 4 years’ experience in Administration/Finance /HR areas.
Other Skill:
Speaking and writing Afann Oromo is a must
